Onboarding for Librarians and Staff

Bring First Day Documents 

Remember to bring the following with you on your first day:

  • Completed new hire paperwork
  • Acceptable documents for identity and employment verification (see Before You Start, Form 1 and Form 8)
  • Social security card
  • If you're driving, cash to buy a daily parking permit (see Step 2 below)

Purchase Parking Permit for Day 1 

The UCLA Transportation Employee Complimentary Parking Program provides new employees with an appointment time of 43.75% or more with two complimentary daily parking passes for their first two days on campus. The program gives you a chance to get acclimated with the University and review all your commute options before making a decision. If a commute option is not selected, regular parking pay station rates will apply after your first two days of complimentary parking.

  • Inform Library Human Resources (LHR) that you are interested in the complimentary daily parking passes before your first day.
  • You will then receive an email about your commute options and a unique code valid for two days of complimentary parking. The code is only valid for your first two days of employment and can be used at any visitor parking pay station on campus.
  • The LHR office is closest to Parking Structure 3.
  • If you are interested in purchasing a regular UCLA employee parking permit, LHR can provide you with that information.

Attend Sign-In Appointment @ LHR 

The LHR office is located on the 2nd floor of Charles E. Young Research Library in Room 22478. Please arrive at your sign-in appointment on time. Below are resources for topics that will be discussed at sign-in.

Get Situated @ Your Work Location 

Meet with your supervisor, begin your departmental orientation, review department specific procedures, etc.

Know Your Logons & Set Up Your Computer 

All UCLA Library employees have 3 different logons and each accesses different services.

  • UCLA Logon ID
  • Library Domain Account
  • EM Office 365

See the UCLA Library Staff Account and Access Overview. 

Contact Library DIIT (Digital Initiatives & Information Technology) at (310) 825-7557 if you need help with the following: 

  • Log in to your computer workstation or laptop with your Library Domain Account username and temporary password provided by your supervisor. Once you're logged in, change your Library Domain Account password using the Self Service Account Management tool.
  • Change your EM Office 365 password. Click here for instructions.
  • Log in to Confluence with your Library Domain Account to access the Library Service Desk for how-to articles on setting up your workstation.

Also, make sure to bookmark the Library Human Resources Confluence space once your computer is set up.

Access UCPath Portal

UCPath Portal is an online, self-service tool that gives employees the ability to view and update personal information, sign up for direct deposit, update tax withholdings, view or enroll in benefits, see vacation and sick leave balances and more. New employees need their Single Sign-on (SSO) and Multi-Factor Authentication (MFA or DUO) set up in order to log in.

  • Enroll in Direct Deposit. Enroll through the UCPath Portal. To learn how to sign up for Direct Deposit, go here. Employees who do not enroll in direct deposit will have their pay checks mailed to their permanent address on file with the University via the U.S. Postal Service.
  • Complete the CA State W-4 (DE-4) Tax Information. All new hires must log in to the UCPath Portal to complete the W-4 online. To learn how to access the W-4, download instructions here.

The following employees are NOT required to complete the CA State W-4 (DE-4):

  • Employees with an Employment Authorization Card (EAD card)
  • Foreign Visitors on J1, H1B, or TN visas
  • Pending U.S. Permanent Residents
  • Refugee & Asylee Status

Schedule UCPD Appointment 

All new hires are required to undergo a criminal conviction background check conducted by UCLA Police Department (UCPD). 

  • Book an online appointment with the UCPD Records Unit for fingerprinting - criminal conviction background check by selecting the "Live Scan (UCLA Employment)" fingerprinting option.
  • Once scheduled, email Rosa Barker (rbarker@library.ucla.edu) and Araceli Bermudez (bermudez@library.ucla.edu) in LHR with the date and time of your appointment. If you are a FTVA new hire, please email Ayesha Ticzon (aticzon@cinema.ucla.edu). They will respond with payment information that you will need to print out and take with you to your appointment.
  • Your appointment will be at the UCPD Records Unit located at 601 Westwood Plaza.
  • UCPD will provide you with a receipt after your appointment. Provide a copy of that the receipt to Rosa Barker.

Learn How to Record Time 

Library employees are required to use UCLA's web-based UCPath Time Reporting System (TRS) to record time worked and/or non-productive time. LHR will notify you when you have access to TRS.

Be Informed About Workplace Health and Safety

  • Visit UCLA Office of Emergency Management to learn what to do in case of an emergency on campus. We strongly recommend that you sign up for the Bruin Alert text message notification.

  • Complete an ergonomic assessment of your workstation. To get started, email Araceli Bermudez (bermudez@library.ucla.edu) for more information.

  • Visit UCLA Environment, Health & Safety to learn about safety training and policies.

  • Learn about the UCLA Campus Healthy Initiative and explore the ways UCLA promotes campus-wide wellness.
