Retention Policy for YRL Reference Materials

Abstracts & Indexes

If A&I are already in the Stacks and we have an electronic version, then send to SRLF.

National Bibliographies

All should stay in the building, either in the YRL stacks or in CRIS; determine what should be sent to stacks by the following guidelines:

  • Developed Countries (North America, Western Europe, Japan, South Africa, Australia) = send all to YRL stacks.
  • If the title is a current serial, keep unbound issues in CRIS stacks, send to YRL stacks once they are bound.
  • Developing Countries (Latin America, Africa, parts of Asia) = Keep in CRIS stacks

Biographies

Biographical sources that we need to keep in the stacks:

  • Any source dealing with local, California, or Southwestern United States history
  • Sources that focus on particular ethnic groups, anywhere in the world during any time period (e.g. negro biographies, jews of the west)
  • Candidates for SRLF:
  • Occupational fields (e.g. Who's Who in Finance, Manufacturing, etc.)
  • Discipline/Subject based Biographical sources that are covered by one of the other campus libraries (e.g. Arts, Architecture, Music, Theater, Physics;
  • *NOTE: many of these subscriptions should have been cancelled, so we shouldn't have current issues in the stacks; if it looks like we do have a current subscription, consider for cancellation.)
  • Collections in CRIS - back issues for these titles should be kept in stacks

Directories

Definition: a list of persons, associations, institutions, or organizations, systematically arranged, usually in alphabetic or classed order, giving address, affiliations, etc. for individuals, and address, officers, functions, or similar data for organizations. (ALA Glossary of Library and Information Science)

  • Standard: Keep latest 2 superseded years in Stacks (current year in CRIS); Send earlier to SRLF
  • *NOTE: Keep materials that are Building Use Only (BUO) in the stacks as BUO* when sent to SRLF
  • *NOTE: usage changes after directories are superseded; they often become biographical sources
  • Area Studies or developing countries (Who's Who/Directories) - keep in stacks, even if they are published sporadically
  • Directories for Germany, France, Britain
  • TV, Film, Theater - send to SRLF (covered by Arts Library)
  • Political/Governmental Directories - latest in CRIS, earlier in stacks
  • US Congressional Directories - latest in CRIS, keep earlier in stacks
  • State Directories - send to SRLF (do not need to actively collect these, due to web coverage or accessibility of information through Carroll's municipal/county directory)
  • Faculty Directory - follow Standard pattern
  • Publisher Directory - follow Standard pattern

* perhaps make these non-circulating in SRLF instead? Users at other UC campuses could then request the materials via ILL for use in their campus libraries.

Encyclopedias

  • General (e.g. Britannica, Americana)
  • Except for select important editions (Britannica 9th and 14th, which will be kept in CRIS), send earlier editions to SRLF
  • *NOTE: CRIS offers old editions of Britannica, Americana, World Book to other campus libraries, then Cataloging, then to Ethnic Studies Libraries. If older editions of these titles are found in the stacks, then they didn't come from CRIS. Investigate to see if they can be removed.
  • Specialized (foreign language encyclopedias or subject specific)
  • Titles will need to be reviewed on a case by case basis in order to decide whether to keep in CRIS or move to Stacks.
  • *NOTE: In some cases, the encyclopedias from other countries have not been updated; even though what we have might be fairly dated, it is the only edition available. Consult Norma; she did an examination of these titles and knows their status.)

Statistics

  • Keep all US in stacks
  • California
  • Keep all CA in stacks
  • California Statistical Abstract - keep all in CRIS
  • Local (Los Angeles city & county)
  • Crime Statistics Annuals - LAPD, LA Sherriff
  • Send rest to SRLF
  • Look for titles that are no longer current; investigate why/send to SRLF
  • Statistical Abstracts for other states - do not need to collect or get updated editions/send to SRLF
  • Key states that we want to emphasize: all Pacific states, IL, FL, OH, NY, TX - keep latest in CRIS; earlier to SRLF
  • Latin America
  • Keep 20th Century at the Country Level in Stacks
  • Keep Mexico below the country level
  • Western Europe
  • Keep all Censuses (at Country Level)
  • Keep all Statistical Compiliations (Yearbooks, Abstracts)
  • Asia
  • Keep stats at the country level
  • Africa
  • Keep stats at the country level

Books/Serials In Print

All Countries: Latest to CRIS; earlier to SRLF

  • *NOTE: Norma spoke to Frederico to see what he is using to check for OP information - he uses current BIP/S's and has a current subscription to those that he needs. (see Available BIP as of 1 May 2002 handout from Norma)
  • Catalogs

    Standard: If it is in the stacks, without any markings, leave in the stacks, the bibliographers put it there. If it is in the stacks, with "RR" inside the cover, then send to SRLF.

    • Manuscript Collection Catalogs - Keep in Stacks
    • Library Catalogs - Keep in stacks
    • Specialized subject catalogs -- notify bibliographer; it is up to them to decide.
    • keep in CRIS, unless it's online, then send to SRLF
    • if we find any in the stacks and it came from a bibliographer, then leave in stacks
    • GK Hall Catalogs (e.g. Hebrew, Africana, Early Imprints, etc.)
    • *NOTE: project completed that checked to see if the print catalogs are now available online; could send print to SRLF
    • GK Hall Bibliographic Guides (9 titles)
    • Per CRIS Librarian discussion on 7/31:
    • Ok to cancel subscriptions and move to SRLF or offer to another library

    Dictionaries

    • English
    • CRIS issues superseded to stacks; keep in stacks
    • Exceptions: OED, 2nd ed; Websters 1st, 2nd, 3rd eds. Keep in CRIS
    • Foreign Language - keep all in stacks; these are high use/high replacement items.

    Almanacs, Yearbooks, Handbooks

    • Keep in stacks (latest in CRIS)
    • Exceptions: PDR; Handbook of Science and Medicine - send to SRLF; if already there, then withdraw
    • Keep Statesman's yearbook; Infoplease
