Exhibit Proposals

  • Proposals are welcomed from faculty, librarians, staff or students.
  • Ideally, proposals should be received at least three months before the date planned for the exhibit.
  • Other proposals will be accepted on a space-available basis.
  • The Exhibits Committee considers proposals as they are received, notifies applicants promptly of its decision, and schedules the exhibit.

Exhibitor responsibilities
(in consultation with the College Library Events and Exhibits Committee chair):

  • Prepare copy for descriptive text for publicity (two months prior to exhibit).
  • Select exhibit materials
  • Plan exhibit signage for cases and information kiosks, if appropriate
  • Plan text & design ideas for posters or flyers, if appropriate
  • Install & dismantle the exhibit, in consultation with the committee to install & dismantle

Publicity

The written description of the exhibit will be used for the College Library Exhibits web site and for publication in UCLA Today, Daily Bruin, Library Newsletter, Library News for the Faculty, and UCLA Librarian. Lead time of less than two months will exclude some publications.

Under some circumstances, production of printed signs and materials will be provided by College Library, through Library Communications. Exhibitors should consult with the College Library Events and Exhibits Committee chair for more information.

Installation & Dismantling

Exhibitor responsibilities (in consultation with the College Library Events and Exhibits Committee chair):

  • Schedule installation of the exhibit at a mutually agreeable time
  • Obtain exhibit case key from the College Library Events and Exhibits Committee chair
  • Arrange for check out of library materials with the College Library Events and Exhibits Committee chair.
  • After the exhibit, in a timely way, dismantle exhibit & return library materials, supplies, etc.

Insurance & Art Work

In instances when exhibit materials are on loan to UCLA, the exhibitor coordinates with the College Library Events and Exhibits Committee and makes arrangements for insurance coverage.

For some materials, such as art work which is not displayed in the locked exhibit cases, a signed release form may be required.

Receptions

Receptions are not normally held in conjunction with exhibits. In exceptional cases, exhibitor must make arrangements well in advance, working with the College Library Events and Exhibits Committee and chair.
Parts of the Powell Library Building may be available as a venue for private, non-library sponsored events. Please contact College Library Administration for fees and details.
